2.5 Advanced Leave Prorate Policy

Location: Leave > Leave Policy Setting > Advanced Leave Prorate Policy

If your company allows Employees to take Leave even if they have NOT sufficient Leaves at the point of application, this is called Advanced Leave.

Employee can go for Advanced Leave first, and the system will deduct the Leave day accordingly when they earn sufficient Leave later. 

However, if your company does NOT practice such arrangement, then you can skip this part.

  

At the Advanced Leave Prorate Policy page, click 'Create'. You will be brought to the page below:

 

Enter the name of your Policy and then click Save.

Go back to the Advanced Leave Prorate Policy page, you will see the name of your newly created Policy.

At this stage, essentially you have only created the name of the Policy, you need to enter the Prorate Formula that meet your Company's Policy. 
Click on the button 'Prorate Formula'.

 

Click on 'Create'

Firstly, if there is any restriction on the period of time that Employee is allowed to take Advanced Leave, then enter the number (in terms of months) here. If there is none, then just leave the box blank. 
Then you need enter the Mathematical Formula to calculate the number of Advanced Leave that an Employee can take. 
There are three options available from the drop down list, Entitlement and Earn Balance

  • Entitlement: the number of Leave that the Employee is entitled for full year (Yearly Entitlement)
  • Earn Balance: the number of leave balance that the employee has at the time of application. (Leave Earned - Leave Taken)
  • Setup with Earn: the number of Leave that the Employee has already earn at the date of application (Leave Earned so far)

Typically companies decide of the number of Advanced Leave that Employee can take base on either the Leave Policy or just set a fixed number of days. Both can be achieved using the Formula above. The 2 example below will demonstrate how. 
Example 1: Employee is allowed to take Advanced Leave every year but the maximum number of days cannot be more than 50% of their entitlement. Then the setting should be as below:


 

Example 2: Throughout the whole working tenure, employee can take Advanced Leave of up to 3 days. 


An example of a formula for policy allow to apply advanced leave up to the Full Entitlement :


 

Important Note :

Advanced Leave Prorate Policy after system calculations, the decimal points will not have rounding checking during application
