Guidelines for Ad Hoc Public Holiday Update

For companies observing the ad hoc public holiday:
  1. Adding special ad-hoc holiday for Friday, 20/Mar/2026 setting inside the system (applicable to clients who subscribed to Leave Module).
    1. Navigate to Leave > General Setting > Holiday Calendar Setting.
    2. Click the pencil icon to edit existing calendar.
    3. In the March calendar view, click on the 20th. A pop-up window will appear.
    4. Complete the details as follows:
      1. Code and Description: Enter a suitable title (e.g., "Extended Hari Raya").
      2. Day Type: Select "Public Holiday".
      3. Date Defined AS: Choose "Single Date".
    5. Click OK > Click Save.
    6. Repeat the same steps for other relevant state calendars, if applicable.

  2. Leave Cancellation / Leave Withdrawal for affected employees (applicable to clients who subscribed to Leave Module).
    1. Use Leave Taken History Report to generate the list of employees who have applied leave for Friday, 20/Mar/2026.
    2. User may notify employee to cancel/withdraw leave from ESS or Admin may cancel/withdraw on behalf.

  3. Reprocess Attendance (applicable to clients who subscribed to Attendance Module).
    1. Go to Attendance > General > Process Attendance.
    2. Define the Date Range as 20/Mar/2026 - 23/Mar/2026 > Select the filter of employees to be processed.
    3. Run Process Now.

For companies requiring employees to work and pay public holiday rate:
If your company requires employees to work on 20/Mar/2026 and compensate them at public holiday rates, you may need to create a separate holiday calendar (if needed) and mark the date as a Compulsory Working Day:
  1. Go to Leave > General Setting > Holiday Calendar Setting.
  2. Click 'Create'.
  3. In the "Description" section, enter a suitable name for the holiday calendar.
  4. Click the Subscribe button (bottom left) to view and select predefined holidays.
  5. Select the holidays your company observes. These will automatically apply as non-working days for future years.
  6. Click 'Subscribe'.
  7. In the March calendar view, click on the 20th and a pop-up will appear.
  8. Fill in the details in the pop-up as follows:
    1. Code and Description: Enter as needed (e.g., "Extended Hari Raya")
    2. Day Type: Select "Public Holiday"
    3. Date Defined As: Choose "Single Date"
  9. Click OK
  10. Click on the newly added holiday again and tick the checkbox for “Compulsory Working Day”.
  11. Click OK > Click Save
  12. Assign the new holiday calendar to relevant employees via Career Progression.
    Note: For bulk updates, use the Export/Import function for efficiency.

For companies granting Replacement Leave
If your company requires employees to work on 20/Mar/2026 but intends to grant replacement leave instead:
  1. Go to Leave > General > Batch Replacement Leave Entry.
  2. Use Advanced Search to filter specific groups of employees (if necessary).
  3. Select the employee(s) to be included in the Selected List.
  4. From the Leave Type dropdown, select the relevant leave category to be credited.
  5. Set the Effective Date for the leave entitlement.
  6. Input the number of leave days to be added.
  7. Enter any remarks related to the replacement leave.
  8. Click 'Confirm'
    Note: You may also include a Reason, if required, for internal tracking
