3.8 Payroll - HRDF Configuration

STEP 1 : CREATE COMPANY HRDF ACCOUNT

Location : System > Main > Company > Company Statutory Account > Other tab:

  • Fill in the details in the Other Accounts panel
  • In the Account Type column, select HRDF from the drop-down menu.
  • Save
  • At the bottom of the screen, tick the Update Existing Employees with Default Account Number
  • Save

STEP 2 : CONFIGURING HRDF SETTING


Location : Payroll > Setting > Statutory Setting > HRDF Setting 
  • Select the HRDF Category accordingly
  • You may select to deduct NPL from the HRDF wages by ticking the Deduct NPL checkbox
  • Save

The Description of HRDF Categories are as below: 

a) Required to Registered 



b) May Opt To Be Registered 


 

 

Note:

Deduct NPL feature enables the system to automatically adjust the employee's *HRDF wages with non-paid leave taken for that particular month

*HDRF wages : Basic salary + Fixed allowance

 

STEP 3 : ENABLE HRDF CONTRIBUTION FOR EMPLOYEES

To enable HRDF contribution for individual employees :

Location : Employee list > Search for employee > pencil icon > Payroll tab > Salary Setting :

  • In Statutory panel, tick the Contribute HRDF checkbox


Note:

Please ensure the career progression record tied to this Salary Setting is effective. The Salary Setting page by default is tied to the latest Career Progression record, which may or not be effective currently. For example, if the employee's latest career progression effective date is a future date, the salary setting tied to it is also effective the future date. To check the career progression record that is tied to a Salary Setting, please refer to the screenshot below.



To enable HRDF contribution to a large number of employees or all employees at one, users may make use of the Export/Import feature.

Location : Employee list > pencil icon (any employee) > Payroll tab > Career Progression tab >  Export/Import : Download Career Progression Excel file

  • In the Excel file, in the "Enable HRDF Deduction?(Y/N)" column, key in "Yes" for all the employees.
  • Save
  • Upload the saved excel file 

GENERATING HRDF LISTING REPORT

Location : Payroll > Statutory Report > Other Report :

  • Select Payment Year 
  • Select Report format from the drop-down list
  • Select Year Range
  • Generate:

Referring to the HRDF listing report sample above, there may be a variance between Grand Total of HRDF Amount and HRDF payable as a result of rounding off.
